Donor Privacy Policy
West Point Association of Graduates (WPAOG) is committed to respecting the privacy of our donors. We have developed this privacy policy to ensure our donors understand how donor information will be used.
Contact Information
WPAOG collects and uses various information from donors, including: gift amount and designation, mailing and email addresses, telephone number(s), spouse/partner name, and any relevant comments. Tax laws and other regulations in the United States and the State of New York require WPAOG to keep contact information and contribution histories of donors on file.
WPAOG uses donor information to understand donors’ interests and provide stewardship. WPAOG will never sell, trade, rent, or share the mailing or email addresses, or telephone numbers of our donors (outside of the parameters laid out in our main privacy policy for graduates) and the names of our donors will only be shared when released for publication.
WPAOG will use contact information (mailing and email address and telephone number) of donors for:
• Distributing receipts for donations
• Thanking donors for their donation
• Informing donors about giving options, fundraising appeals, donor events, and other activities related to WPAOG’s mission
• Internal analysis and record keeping
• Reporting to relevant U.S. and State agencies (these reports are not for public inspection)
• Contacting donors about changes to this policy
WPAOG allows donors the option to have their name publicly associated with their donation in the format they choose or to remain anonymous.
WPAOG will disclose donor information in response to subpoenas, warrants, court orders, levies, attachments, orders of a court-appointed receiver or other comparable legal processes.
Financial Information
All access to donor financial information is strictly limited to the professional staff of WPAOG whose job requires them to view or use this data for the purposes described above. No such data is given to any staff member who does not need to access this data. Donor records are kept in a secure file cabinet and as part of an internally maintained donor database that is housed in a secure environment.
We share information with our independent auditors and tax professionals so they may conduct our annual financial and compliance audit and complete our tax returns. These professionals are bound by confidentiality requirements consistent with the industry.
To accept contributions via credit card, WPAOG uses accredited online payment processing services and is fully PCI-compliant. Unless requested by the donor for the purpose of processing recurring donations, WPAOG does not store, nor does it have access to, a donor’s credit card information, bank account numbers, or other account data sent to those processing services.
Information Requests and Policy Changes
It is our desire to not send unwanted mail or information to our donors; therefore, donors can select their communication preferences. We have several options, which are detailed in our main privacy policy. If a donor has comments, questions or wishes to request information regarding our donor privacy policy, he or she can contact is in the following ways: email at advsvcs@wpaog.org, write to West Point Association of Graduates, 698 Mills Road, West Point, NY 10996 or call us at (800) BE-A-GRAD.
